Information we collect
When you request a home visit on our booking page, we collect your name, phone number, email address (optional), the address and postcode for the visit, the service you need, your preferred times and anything else you choose to tell us.
When you send a message through our contact page, we collect your name, email address, phone number (optional), the reason for your enquiry and your message.
When you book a clinic appointment online, our appointment booking system collects the details needed to make your booking.
When you browse the website and accept analytics cookies, we collect information about how you use the site, such as the pages you visit, how you arrived, your approximate location (town or region), and your device and browser type. It does not tell us who you are.
Some of what you tell us, such as details about your hearing, is health information. We only use it to arrange and provide your care.
How we use your information
- To contact you about your enquiry or appointment and arrange your care.
- To reply to your messages and questions.
- To understand how visitors use the website so we can improve it (only if you accept analytics cookies).
We do not sell your information, use it for marketing without your permission, or use it for automated decision-making.
Our lawful basis
Under UK data protection law (UK GDPR), we rely on:
- Your request and consent — when you send a form and tick the box agreeing that we can contact you.
- Providing health care — for any health information needed to arrange and deliver your hearing care.
- Your consent — for analytics cookies, which are only set if you accept them.
Who we share it with
We use a small number of trusted service providers to help us run our website and services. They only process your information on our behalf and under our instructions:
- website hosting and security providers;
- email services that deliver your form submissions to us;
- our appointment booking and practice management system;
- website analytics providers (only if you accept analytics cookies).
Some of these providers may process data outside the UK. Where they do, appropriate safeguards are in place as required by UK data protection law.
We will only share your information with anyone else if the law requires it, or with your permission, for example when referring you to your GP.
How long we keep it
We keep enquiries and messages only for as long as we need them to deal with your request, then delete them. If you become a patient, your clinical records are kept in line with professional and HCPC guidance. Analytics data is deleted automatically after a set period.
Cookies
Cookies are small files saved on your device by websites you visit. We only use analytics cookies if you choose Accept on our cookie banner. If you choose Reject, no analytics cookies are set.
| Name | Provider | Purpose | Expires |
|---|---|---|---|
_ga | Google Analytics | Tells visits apart so we can count visitors | 2 years |
_ga_* | Google Analytics | Keeps track of your current visit | 2 years |
We also save your cookie choice in your browser's local storage (roh-cookie-consent) so we don't ask you on every page. This is not shared with anyone.
You can change your choice at any time:
Your rights
You have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- object to or ask us to limit how we use it;
- withdraw your consent at any time, including for cookies.
To use any of these rights, email [email protected] or call us, and we'll respond as quickly as we can.
If you have any concerns about how we've handled your information, please get in touch with us first and we'll do our best to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.
Keeping your information safe
This website uses a secure (HTTPS) connection, and form submissions are sent directly to us by email. Access to your information is limited to the people who need it to provide your care.
